Understand what a stock number represents

Physical stock, reserved stock and stock available for a new order can differ. Material may also be awaiting inspection or held because of damage or a quality concern. Agree which quantities staff should use when planning production or promising delivery.

The wider inventory model distinguishes raw material, packaging, work in progress, finished goods and quarantine. Those distinctions make the stock picture more useful than a single total, provided the relevant movements and statuses are maintained.

An example of replenishment planning

A manufacturer has enough finished units for today’s dispatch but not enough approved material for the next production run. Reviewing finished stock alone would miss the shortage. Link replenishment discussions to material requirements, existing purchasing commitments and inspection status where your configured modules support that workflow.

Prepare opening balances and movement rules

Clean product codes and units of measure before loading opening stock. Identify the stores involved and reconcile the starting quantities. Decide who records receipts, issues, transfers and adjustments, and who approves discrepancies found during counting.

Can the system track batches and expiry?

The product model includes batch, serial and expiry fields. Ask the team to confirm their current availability, required configuration and how they affect receipts, picking and reporting for your products.

Will it reorder automatically?

A reorder engine is part of the advanced supply chain roadmap. A stock report or low-stock indicator should not be treated as an automatically placed purchase order. Confirm the supported process and its approval rules.
